Clio advertises pricing starting at $49/user/month. That number is technically correct — and completely misleading. Here's what a real-world PI firm actually pays when you add up all the products, add-ons, and third-party tools needed to run a modern practice.
The Sticker Price vs. Reality
Clio's pricing page shows three tiers: EasyStart ($49), Essentials ($79), and Advanced ($109). But most PI firms need Clio Manage at the Advanced tier to get custom fields, task automation, and advanced reporting. That's already $109/user — more than double the "starting at" price.
Then you need Clio Grow for intake and CRM ($49/user). And Clio Duo to connect them ($0 if on Essentials+, but only with Manage). That's $158/user just for case management plus CRM. And we haven't added a single third-party tool yet.
The Full Cost Breakdown
Here's the monthly bill for a 5-attorney PI firm using Clio's full ecosystem:
| Product / Service | Cost | Annual Total |
|---|---|---|
| Clio Manage (Advanced) × 5 | $545/mo | $6,540 |
| Clio Grow × 5 | $245/mo | $2,940 |
| E-Signature add-on | $30-50/mo | $360-600 |
| Demand letters (EvenUp/Precedent) | $275-500/letter | $33,000-60,000* |
| Legal research (Westlaw Edge) | $85-150/user | $5,100-9,000 |
| Document automation (3rd party) | $50-100/mo | $600-1,200 |
| Client portal enhancements | $25-50/mo | $300-600 |
| Monthly Total | $1,735-3,290 | $20,820-39,480 |
* Assumes 10 demand letters/month. Some firms do more, some less.
Hidden Costs Nobody Mentions
Beyond the subscription fees, there are costs that don't appear on any pricing page:
- Integration maintenance: When Clio updates its API or a third-party tool changes its pricing, someone on your team spends hours fixing workflows.
- Context switching: Studies show that switching between applications costs 15-25 minutes of productivity per switch. If your team switches between 5 tools 10 times a day, that's 2+ hours of lost productivity per person.
- Training new hires: Every tool has its own interface, its own login, its own quirks. Training a new paralegal takes weeks when they need to learn 5 different systems.
- Data silos: When your case data lives in Clio, your demand letters in EvenUp, your research in Westlaw, and your documents in a separate DMS, nothing talks to each other automatically. You're the integration layer.
The Per-User Reality
When you divide the total monthly cost by 5 attorneys:
- Low estimate: $1,735 ÷ 5 = $347/user/month
- High estimate: $3,290 ÷ 5 = $658/user/month
Compare that to Clio's advertised "$49/user/month." The real cost is 7-13x higher than the sticker price. Not because Clio is dishonest — their base product genuinely starts at $49 — but because a PI firm can't run on the base product alone.
